Setup Global Structures

You have the option to set up global calendar, rate, resource, or user defined code structures projects can share either instead of or in addition to project unique structures.
To use the global calendar, rate, and resource structures option, you must set up all three related global structures. Users setting up new projects can then select the global resource structure to auto populate the related global rate and calendar structures. They can also select the available resources for their project to narrow the selections when they assign resources to work packages.
Any user defined code structure or field can be designated as a global structure projects can share.
If you have already set up calendar, rate, resource, or code structure templates, you can copy those to create the global structures and make the necessary modifications.
Steps to Setup Global Calendar, Rate, and Resource Structures
- Define the global base calendar structure. See Create a Calendar Structure. You may want to add the text "Global" in the name or description so it is easy to identify.
- Define reporting calendars for this base calendar such as quarterly or fiscal year reporting sets. See Add a Reporting Calendar.
- Optional. Define resource specific working Hours Sets. See Add a Resource Calendar.
- Define the global rate structure and add rates to the structure. See Create a Rate Structure and Add Rates. You may want to add the text "Global" in the name or description so it is easy to identify. When you define your global rate structure, select the global calendar structure you created in Step 1.
- Define the resource structure, configure the resource results, add the resources, and set the resource calculations. See Create a Resource Structure, Configure Resource Results, Add Resources, and Set Resource Calculations. You may want to add the text "Global" in the name or description so it is easy to identify. When you define your global resource structure, select the global rate structure you created in Step 2.

Before you exit or close the Manage Resources tab window, select the Name tab. Click the check box and then click in the Ribbon Menu. This automatically sets all three structures to be global structures.
Tip:
To remove the global setting for the three related structures, uncheck the check box and then click in the Ribbon Menu.
Steps to Setup a New Project Using the Global Structures
- Create the project unique or global Codes. At a minimum, this includes the work breakdown structure (WBS). The WBS is typically project specific.
- Create your Project using the Manage Projects tab window.
When you have a user defined code structure or field you want to add to the project, select the Fields tab. Add the user defined code structure or field at the work breakdown structure (WBS)/control account or work package level. See Add Project User Fields.
Tip:
Once you save your project, you can edit or remove a user defined code structure or field at any time.
Select the Structures tab. Select the global resource structure from the dropdown. Click to select the applicable resources for the project.
Tip:
Once you save your project, you will see a option in the Structures tab. You can use this option at any time to disconnect the global calendar, rate, and resource structures and create project specific structures from the global structures. See Disconnect Global Structures. Or, select another non-global resource structure from the Resource Structure dropdown.
